Effective October 21, 2026
On Track Computers (“we,” “us”) is a mobile computer repair business based in Denton, Maryland. This policy explains what information we collect, how we use it, and the choices you have.
Information we collect
- When you contact us: your name, email address, and message.
- When you book a service: your name, email address, phone number, service address (for onsite visits), device details (type, brand, model, serial number), a description of the issue, and your signature on our service agreement.
- When you chat with us: your name, email address, and the messages you send, including any screenshots or photos you choose to attach. Please don’t share passwords, payment card numbers, or other sensitive details in chat, including in screenshots or photos. The chat window loads only when you open it. Screenshots and photos are stored privately and can only be viewed by On Track Computers.
- Payment information: payments are processed by Square. We see the payment amount and the last digits of your card, but we never receive or store your full card number.
- Technical information: our contact form uses Cloudflare Turnstile to block spam. Your IP address is used briefly to limit repeated form submissions. In chat, we keep only a scrambled (hashed) version of your IP address, used to limit abuse.
How we use your information
We use your information only to run our business with you:
- To schedule, perform, and bill for the service you requested
- To contact you about your appointment, including a text message when we’re on our way to an onsite visit
- To send your booking confirmation, session details, and receipts
- To send one follow-up email after your service asking how it went
- To keep service and financial records required for warranty, tax, and legal purposes
We do not sell your information, and we do not share it with anyone for their own marketing.
Service providers we use
We rely on a small number of trusted providers to operate. They handle your information only to provide their service to us:
- Square: payment processing
- Google Workspace: email and scheduling
- Supabase: secure storage of booking and service records, and chat messages and attached screenshots or photos
- Resend: delivery of emails from our website and booking system
- Zoho Assist: remote support sessions
- Cloudflare: website hosting and spam protection
- Netlify: hosting for our booking system
- Wave: bookkeeping
Analytics
Our website uses Google Analytics to understand how visitors use the site, such as which pages are viewed. It uses cookies and collects information like your browser type and general location. It does not identify you by name. You can opt out of Google Analytics with Google’s browser add-on at https://tools.google.com/dlpage/gaoptout.
Data on your device
When we work on your computer, we access only the files and settings needed to perform the service you requested. We do not browse, copy, or keep your personal files. During remote sessions we make no copies of your data. For onsite and pickup services, if we make a temporary backup copy as part of the work, it is stored securely and permanently deleted 14 days after your service is completed. Data recovery is the exception: to recover files we make an image (a full copy) of your drive and search it for recoverable files, and drive images and recovered files are kept for 30 days after delivery, then securely deleted (sooner if you ask). Any passwords you give us are used only for your service and are not kept after your service is complete.
Your repair status page
For onsite and pickup jobs, we may send you a private link to a page that shows your job’s progress, the status of any parts we ordered for it, and short updates from us. Anyone who has the link can see that page, so please don’t forward it. The link is unique and unlisted, stops working 30 days after your job is completed, and can be replaced on request. The page does not show your contact details or payment details, and it is not indexed by search engines. When we are waiting on an answer from you, the page may include a box where you can reply; a reply you send is stored with your service record, like any other message about your job.
How long we keep records
We keep booking, service, and payment records as long as needed for your service history and warranty, and to meet tax and legal record-keeping requirements. Chat messages, and any screenshots or photos attached to them, are deleted 30 days after the last message in the conversation.
Security
We protect your information with reasonable safeguards, including secured accounts with two-factor authentication and restricted access to service records. No system is perfectly secure. If a security breach ever affects your personal information, we will notify you as required by Maryland law.
Your choices
You can ask to see, correct, or delete the personal information we hold about you by emailing [email protected]. We’ll honor deletion requests except for records we’re required to keep for tax, legal, or warranty purposes.
Children
Our services are intended for adults. We do not knowingly collect information from children under 13.
Changes to this policy
If we update this policy, we’ll post the new version here with a new effective date.
